Account Coordinator

The Black Business Alliance Peoria Chapter, Inc. (BBA) is a nonprofit organization formed in 2013.  Under the BBA umbrella are WPNV 106.3 LP FM, the Minority Business Development Center which operates the Regional Workforce Solutions Center. The BBA is focused on innovative ways to grow minority businesses and a skilled workforce. Our mission is to educate and empower those wishing to achieve and maintain financial independence for themselves and their community.

Job Summary

This position supports the efficient back-office operation of those within the Contractors and Entrepreneur program who elect to utilize this service.  Service options may include Bookkeeping Services (QuickBooks), Answering service, Financial statement preparation (from QuickBooks), mailbox service and conference room scheduling.  In addition, recruitment of clients, coordination with program managers and timely reporting of utilization of services is a requirement.

Job Duties

  • Maintains the books and records for participants
  • Provide invoice support to clients utilizing accounting and recordkeeping software.
  • Facilitates individual and group sessions with participating program participants
  • Mange communications, schedule and organize event/meetings related to the program
  • Implement program policies and maintain the budget by tracking and recording all transactions
  • Organize programs and activities in accordance with the mission and goals of the organization
  • Manage long term goals
  • Develop an evaluation method to assess program strengths and identify areas for improvement
  • Ensure goals are met in customer satisfaction and quality with Accounting vendor
  • Implement and manage changes and interventions to ensure project goals are achieved
  • Meet with CEO/CFO weekly regarding project issues and decisions on services
  • Produce accurate and timely reports of program status
  • Assist with the creation of marketing materials
  • Reconciles suppliers/vendor invoices
  • Other duties as assigned

Education

  • Associates Degree in Accounting or equivalent Bookkeeping experience
  • Post-secondary education in accounting, business, computers, or office management is an asset.

Administrative Clerk

Job Summary

Ensure the efficient day-to-day operation of the office and support the work of management and other staff and may  perform a wide range of duties including some or all the following:

Job Duties

  • Answer general phone inquiries using a professional and courteous manner
  • Direct phone inquiries to the appropriate staff members
  • Reply to general information requests with the accurate information, using email
  • Greet clients/suppliers/visitors to the organization in a professional and friendly manner
  • Use word processing, spreadsheet, and database software to prepare reports, memos, and documents
  • Sort incoming mail, faxes for distribution
  • Prepare and send outgoing faxes and mail
  • Reply to emails and social media activity in a timely manner
  • Forward voice mail from the general mailbox to the appropriate staff member
  • Forward incoming general e-mails to the appropriate staff member
  • Receive and store the office supplies ensuring that basic supplies are always available
  • Code and file material according to the established procedures
  • Update and ensure the accuracy of the organization's databases, websites
  • Back-up electronic files using proper procedures
  • Provide administrative support to management and other staff
  • Make meeting and interview arrangements for staff
  • Ensure the timely distribution of material
  • Maintains the cleanliness and order of the office space with vacuuming, dusting, and trash removal.
  • Other duties as assigned

Executive Assistant

Job Summary

Reporting directly to the Chief Executive Officer (CEO), the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for the CEO.   The Executive Assistant must be creative and enjoy working within an environment that is mission-driven, results-driven, and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations and will possess strong written and verbal communication, administrative, and organizational skills. The ability maintains a realistic balance among multiple priorities is imperative. The Executive Assistant must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Job Duties

  • Acts as the administrative point of contact between CEO and internal/external demands.
  • Undertakes the tasks of receiving calls, taking messages, and routing correspondence.
  • Handles requests and queries promptly and appropriately.
  • Conserves executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information, initiating telecommunications.
  • Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Maintains confidence and protects operations by keeping information confidential.
  • Prepares reports by collecting and analyzing information.
  • Provides historical reference by developing and utilizing filing and retrieval systems
  • Maintains office supplies inventory by checking stock to determine inventory level, anticipating needed supplies,  placing and expediting orders for supplies, verifying receipt of supplies.
  • Maintains the cleanliness and order of the office space with vacuuming, dusting, and trash removal.
  • Ensures operation of equipment by completing preventive maintenance requirements, following manufacturer’s instructions, troubleshooting malfunctions, calling for repairs, maintaining equipment inventories, evaluating new equipment and techniques.
  • Other duties as assigned by the Executive Director.

Workforce Solutions – Program Manager

Job Summary

The position assist participants in gaining the skills and training necessary to obtain gainful employment.  This role will assure Workforce Solutions Program goals are achieved including coordinating training in the Information Technology and Entrepreneurial programs as applicable. 

Duties and Responsibilities

  • Direct the activities of the Workforce Solutions program.
  • Design a program that meet client goals.
  • Create assessment tool to identify needed education or training.
  • Conduct assessment of those interested in the Workforce Development area.
  • Create education and training needs matrix.
  • Coordinate training needs calendar.
  • Maintain records of participants employment data upon graduation
  • Establish and maintain program records including:
    • Periodic reports to Executive Director
    • Events
    • Program participation
    • Program outcomes
    • Program budgeting
  • Creating and managing long-term goals.
  • Develop an evaluation method to assess program strengths and identify areas for improvement.
  • Ensure goals are met in customer satisfaction.

 Education/Qualifications

  • Bachelor’s degree in Business Administration, Management, Human Resources, or related experience required.
  • Post-secondary education in business, IT or office management is an asset.
  • 2+ years’ experience in a supervisory role
  • Punctuality, integrity, and critical-thinking skills are crucial to success in this position.
